The International Trip Committee asks everyone attending an international trip to read and understand the terms below that enable it to put together a safe and successful trip. These are mostly common sense and by signing up to and attending a trip you agree to them.

The terms “member”, “you”, “attendee” in the below refer to a member of London Frontrunners that has signed up to the international trip.

Eligibility

Attendance at the International Trip is limited to paid up members of London Frontrunners. An attendee must be a member both at the time of booking a place on the trip and when the trip takes place.

Refunds

Once a member has signed up for the trip via the booking form, the member is committed to pay the trip price which may be spread out in instalments.

The International Trip Committee understands that sometimes the unforeseen occurs and a member may have to drop out. In such circumstances, refunds can only be made if the place is sold to another member or can be cancelled altogether which will be subject to the terms of external service providers such as hotels, travel operators and restaurants and may incur charges for which the member seeking to cancel their place will be liable. As a rule of thumb, the closer to the travel date a cancellation occurs, the less likely it is that any refund can be made.

Refunds, if applicable, will usually be made after the trip.

Packages offered

The International Trip Committee usually offers two different packages: a “non-transport” option and a “transport inclusive” option. A different combination of package may be offered at the International Trip Committee’s discretion, including with different options for accommodation and duration.

Packages include accommodation for the duration of the International Trip (typically two or three nights on a shared room basis in a hotel or hostel), race entry, food and entertainment as communicated in respect of an international trip (usually includes breakfast, two or three dinners or lunches and some entertainment). Exactly what is/is not included in this core package will differ from trip to trip. As noted, accommodation will be offered on a shared basis. This may include dormitory style accommodation with multiple members sharing a single sex dormitory and sharing bathroom facilities.

Attention is drawn in particular to the fact that drinks may not be included in the meals and may need to be purchased at a member’s own cost or that only a limited contingent and choice of beverages (whether alcoholic or not) may be included. This will be covered in communications prior to departure.

The “transport inclusive” option will, in addition, include transport to the destination and back to London with travel arrangements made with the relevant airline/other transport provider and transport will be subject to the provider’s terms and conditions of carriage. Unless indicated otherwise, airport transfers to hotels/home are not included.

If a member arranges their own transport by choosing the “non-transport” option, it is their responsibility to arrive on time to take full advantage of the trip. The International Trip Committee is unable to arrange discounts in accommodation rates if a member only attends part of the trip due to their own travel arrangements although depending on the individual trip a two day and a three duration duration package may be offered to accommodate attendees that cannot attend for the whole duration of the trip.

Whilst certain core logistics are included in the price of the trip, members should be aware that they will likely incur further costs and budget accordingly, for example costs involved in socialising, excursions, any local transport costs (buses, trains, taxis) and food not included as part of the package.

Supplement Payments

Whilst the International Trip Committee will always make every effort to ensure all core services are provided and suitably budgeted for, from time to time events outside the control of the International Trip Committee may mean that a supplement becomes payable prior to departure or at the destination. Where this is the case, the International Trip Committee will communicate this as timely as possible and seek to minimise any adverse impact on the trip and its participants. Without limitation to the foregoing, it may be necessary to charge a supplement due to adverse currency fluctuations between the British Pound and the local destination currency.

Health and Safety

Each member is responsible for their own health and safety. This includes making sure that a member is fit enough to participate in the race distance that they have chosen as well as all other aspects of the trip, such as socialising, and taking responsibility for their own medical arrangements, where required.

Please consider in advance whether you are likely to require any medication and bring it with you.

Please also consider whether to make the members of the International Trip Committee and your friends on trip aware of any medical conditions so that they can facilitate any medical assistance in case something happens.

Insurance arrangements

Members are responsible for making their own insurance arrangements, including any medical insurance or arranging a European health travel card where needed.  In particular, neither London Frontrunners nor the International Trip Committee is responsible or liable for organising or financing any medical expenses incurred by a member or the costs of any transport home for medical reasons.

The International Trip is not ATOL protected nor covered by the 1992 Package Travel Regulations.

Race Terms

Whilst the International Trip Committee facilitates a member’s participation in the relevant race by arranging race registrations, the race is not organised by it and neither London Frontrunners nor the International Trip Committee accepts any responsibility or liability in connection with a member’s participation.

Entry and participation in the race is subject to the relevant race organiser’s terms and conditions with which a member must comply and which may cover health and safety generally, use of headphones, baggage options, results and other matters.  Each attendee should familiarise themselves with such terms ahead of the race and comply at all times with instructions given by race marshals.

Social Etiquette

Each attendee of the trip is asked to behave respectfully to our local hosting community and to other attendees and avoid any conduct that could bring London Frontrunners into disrepute.  In particular, there may be rules around consumption of alcohol in host locations and accommodation which we ask members to observe.

Please help the volunteers on the International Trip Committee in the smooth running of the trip by being on time at relevant venue and briefing meetings and bear with them when things may not quite go to plan!

Use of photos/social media

From time to time, London Frontrunners, including its designated publicity officers, may wish to post photos and other media content taken from the international trips on the London Frontrunners website, facebook page or other social media channels, including but not limited to Twitter, for publicity and promotional purposes.
